# Refunds, chargebacks and captures

## Refunds

Access via the **Refunds** tab of a payment card.

Refunds allow returning all or part of a payment to the customer. They are always linked to an existing payment.

### Refund statuses

| Status | Description |
|--------|-------------|
| Queued | Refund recorded, awaiting processing |
| Pending | Refund submitted, awaiting approval |
| Processing | Refund being processed by the bank |
| Refunded | Refund completed successfully |
| Failed | The refund failed |
| Canceled | The refund was canceled |

### Creating a refund

From the card of a payment with **Paid** status:

1. Click **Refund**
2. Enter the amount to refund (full or partial)
3. Confirm the operation

The card displays the total amount already refunded and the remaining refundable amount. The requested amount cannot exceed the refundable amount.

### Canceling a refund

A refund with **Queued** or **Pending** status can be canceled from its detail card.

### Accounting entry of the refund

As soon as Mollie reports the refund as **Refunded**, the module writes a **negative line on the Mollie bank account**: the money has really left your Mollie balance, the account must reflect it.

In addition:

- an **event** is added on the concerned invoice(s), with the amount, the Mollie identifier and the bank line number to reconcile;
- a **notification** is sent to the address configured in the payment notifications, if filled in.

> **Up to you**: the corresponding **credit note** is not created automatically. A partial refund does not mechanically translate into invoice lines, it is an accounting decision. Create the credit note then reconcile its payment with the bank line indicated in the event.

The entry is only created once per refund: synchronizing several times does not duplicate anything.

## Chargebacks

Access: **Bank > Mollie > Chargebacks**

Chargebacks occur when a customer disputes a payment with their bank. Mollie automatically notifies your module via webhook.

### Chargeback list

- **Mollie ID** (`chb_xxxx`)
- Associated **payment**
- Disputed **amount**
- **Date** of the chargeback
- **Status**

![Chargeback list with reason codes and disputed amounts](screenshots/contestations-liste.webp)

### Chargeback card

The card displays the chargeback details:

- Amount and currency
- Reason (if provided by Mollie)
- Linked original payment
- Creation and reversal dates

**Available actions:**

- **Refresh from Mollie** - Updates the information

> **Warning**: Chargebacks are read-only. Dispute management is done directly in the Mollie dashboard. The module automatically synchronizes updates via webhook.

### Accounting entry of the chargeback

Like for a refund, the money leaves your Mollie balance: the module writes a **negative line on the Mollie bank account** when the chargeback opens.

If the chargeback is then **reversed** (dispute won), a **positive offsetting line** is written, the money coming back to the account. The two entries are distinct and are each created only once.

An event is added on the concerned invoice in both cases, with the bank line to reconcile.

### The invoice is reopened

The money taken back by a chargeback is no longer collected: when the chargeback opens, the invoice paid by this payment is **reclassified as unpaid** (the Dolibarr `BILL_UNPAYED` trigger is fired) and receives an `AC_PAYMENT_MOLLIE_KO` event whose detail starts with `chargeback`, followed by the code and reason given by the bank (for example `chargeback - AM04 - Insufficient funds`). It is the same trace as a refused payment (see [Payments](/mollie/paiements)).

- This only happens once per chargeback: if you then reclassify the invoice as paid by hand, the following synchronizations do not reopen it.
- As long as the chargeback is open, refreshing payments does not reclassify the paid invoice.
- If the chargeback is **reversed** (dispute won), the invoice is classified as paid again, unless an amount is still due or another chargeback is open.
- A chargeback discovered already reversed does not reopen anything.

> **Up to you**: the original Mollie payment remains on the invoice, its remaining amount to pay therefore shows zero. Record the offsetting operation (credit note or negative payment reconciled with the chargeback's bank line) so that the amount becomes due again.

### SEPA chargeback reason codes

| Code | Description |
|------|-------------|
| AC01 | Incorrect account number |
| AC04 | Account closed |
| AC06 | Account blocked |
| AG01 | Transaction not allowed |
| AM04 | Insufficient funds |
| AM05 | Duplicate |
| MD01 | No valid mandate |
| MD02 | Missing or incorrect mandate information |
| MD06 | Refund requested by the debtor |
| MD07 | Debtor deceased |
| MS02 | Not specified by the customer |
| SL01 | Specific service |

### Monitoring

The Mollie dashboard in Dolibarr displays a warning if open chargebacks require your attention. A direct link to the chargeback list is offered.

## Captures

Access: **Bank > Mollie > Captures**

Captures concern payments with prior authorization (typically credit cards). The payment is first authorized, then captured in a second step.

### How it works

1. The customer makes a payment - status **Authorized**
2. You check the order/delivery
3. You **capture** the payment - status **Paid**

### Capture list

- **Mollie ID** of the capture
- Associated **payment**
- **Amount** captured
- **Date** of the capture

### Capturing a payment

From the card of a payment with **Authorized** status:

1. Click **Capture**
2. The authorized amount is transferred

Alternatively, you can **release the authorization** if you do not want to capture the payment (e.g. canceled order).

> Captures are read-only in the list. The capture action is done from the payment card (see [Payments](/mollie/paiements)).
